Privacy Policy

X3 Fleet Safety LLC (“X3,” “we,” “us”) provides workplace-safety and OSHA-compliance software under the X3 Workplace Safety name (the “Services”). This Policy explains how we handle personal information in connection with the Services and these websites.

Our customers are employers. Most personal information in the Services is information about a customer’s own employees that the customer enters to run its safety program. For that information the customer is the controller (or “business”), and X3 acts as a processor or service provider on the customer’s instructions. For account, billing and website information, X3 is the controller.

1. Information we collect

Account and billing: name, business email, company, phone, address, number of sites and employees, and payment information. Payments are handled by our payment processor, Stripe; we do not receive or store full card numbers.

Information a customer enters: its sites and work areas, the names, job titles, shifts, languages and hire dates of its people, its equipment, and its safety records, such as hazards, inspections, training, exposure monitoring, protective equipment, incidents and injuries, corrective actions, drills and emergency plans. Injury and exposure records can include information about a person’s health as it relates to work.

Website and usage: server logs and a sign-in cookie. We do not use advertising cookies.

2. How we use information

• To provide, secure and support the Services.
• For billing, account administration and messages about your account.
• To meet legal obligations and enforce our terms.

We do not sell personal information. We do not use customer-entered data to train artificial-intelligence models.

3. Artificial-intelligence features

Ask X3 sends the question you type to a third-party AI provider to produce an answer. Do not put names or other personal details in a question. The records you keep in the dashboards are not sent to the AI provider.

4. Service providers

We share personal information with service providers who process it for us under contract: cloud hosting and database storage (Cloudflare), payment processing (Stripe), email delivery for account messages such as password resets (Resend), and the AI provider behind Ask X3. We also disclose information when the law requires it.

5. Retention

We keep customer-entered data for as long as the account is open. After an account is closed we delete it within a reasonable period unless the law requires us to keep it. Employers have their own record-retention duties, for example for injury and exposure records; keeping those records for the required time is the customer’s responsibility, and customers should export what they must keep before closing an account.

6. Security

Data is encrypted in transit. Passwords are stored only as salted hashes, and sign-in sessions are stored only as hashes. Access to customer data is limited to what is needed to run and support the Services. No system is perfectly secure, and we cannot guarantee security.

7. Your choices and rights

You can update your account details and password in your account. Employees who want to see, correct or delete information their employer entered should ask their employer, who controls it; we help customers respond. Depending on your state you may have rights under state privacy laws. To make a request, write to us at the address below.

8. Children

The Services are for business use and are not directed to children under 13. We do not knowingly collect their personal information.

9. Where data is processed

The Services are intended for employers in the United States, and data is processed in the United States and wherever our service providers operate.

10. Changes

We may update this Policy and will change the effective date above. If a change is material we will tell you through the Services.
